CHALLENGE & SOLUTION

Creating a Hybrid solution. This 1-day hybrid event connected participants virtually and f2f. In addition to the f2f event at the Estrel Congress Center in Berlin, the members were also able to attend the event virtually. The aim was to enable all of the members to participate according to their personal preferences, whilst ensuring a hygiene concept and an easy-to-use online platform.

Consulting Highlight

A hybrid meeting designed to bring innovation, health and safety concepts, virtual solutions and legally compliant voting into discussion for 150 members.

Guiding members and implementing an easy-to-follow user journey to an audience, which had no virtual event experience.

PRODUCTION / TECHNOLOGY HIGHLIGHT

Event technology ensured flawless live streaming and enabled participants to cast their votes both securely and legally on site as well as online.

Test phase pre-event, to ensure that all attendees had the chance to experience the venue and voting facilities before the big day.

Participants were able to meet on the virtual platform and engage with each other, whilst being able to follow the different breakout rooms and general session live on screen.

The pandemic drives change on many levels – including new challenges for corporate communications. Staying in touch with all stakeholders despite the significant  reduction in face-to-face meeting requires innovative approaches.  

This was also the situation the GCB German Convention Bureau faced when planning its first hybrid general assembly in the summer of 2020: we wanted to provide our members who could not attend on-site with a low-threshold and intuitive digital access to the event.
